Buildings and Office Administrator

Location: Redhill (With frequent travel to Guildford)
Part time (Expected hours 16 per week)
£10,816 per annum

Learning Space is a Surrey based charity providing emotional wellbeing and mental health support through solutions focused interventions to children and young people.

The charity has three bases in Redhill, Tadworth and Guildford. They are a charitable organisation which aims to improve the lives of children, young people and their families.

Since 1997 they have offered 1:1 and group support for a range of emotional needs including low self-esteem, anxiety, anger, relationships, bereavement, bullying and neurodevelopmental needs. Their methodology is solution focused, and their approach is to encourage children and young people to recognise and build on their existing strengths.    Since April 2021, they have been delivering a range of emotional and wellbeing services to children, young people and families.

Job Purpose

We are looking for an organised, personable and experienced administrator to provide essential buildings and office support to the friendly teams based at both Guildford and Redhill. You’ll be ensuring that the key building requirements are met, and necessary checks are carried out on a regular basis as well as making sure both offices are

Buildings management duties

  • Keeping up to date with insurance provider (Citation) visits. Actioning their recommendations around risk assessments, health and safety and building / staff management.
  • Keeping in regular contact with respective landlords around building maintenance and up to date records.
  • Overseeing contracts / visits / assessments / meter readings such as cleaners, window cleaners, printer, phones, air-conditioning units, boiler, broadband, gas, electric, general waste, sanatory waste, water cooler, water supplier, water waste, admiral for alarm systems (yearly check) and WET for our legionella risk assessments.
  • Doing COSHH / risk assessments / safety data sheets on any new products including cleaning / craft products coming into the building. (any item with a warning label)
  • Update Risk assessments yearly with Citation (or sooner if new or issue with risk)
  • Daily building visual checks- emergency light, exits, fire alarm and fire doors.
  • Water checks when the building has been unused for a period of time and weekly for outside tap. (Redhill and Guildford)
  • Weekly testing for fire alarm, emergency lighting, fire doors, fire routes, disabled toilet pull cord,
  • Monthly checks on fire extinguishers, first aid box, equipment and furniture.
  • Operate fire drills every 6 months. (Redhill and Guildford)
  • Sorting out issues when things are broken and ensuring health and safety in place to manage risk.
  • Organising keys for each staff member.
  • Liaising with fire risk UK for inspections, upkeep and replacements. (fire alarm, emergency lights and fire extinguishers)
  • Any other duties required for the role

Office management duties:

  • Ordering resources and essentials, paper, pens, craft equipment, cleaning products, hand towels (Redhill, Guildford and Tadworth)
  • Keep information and signage up-to- date around the buildings.
  • Carrying out confidential shredding and disposal of waste
  • Liaise with external cleaning company as needed
  • Ordering ID badges for new starters as needed
  • General tidying around the office as required
  • Any other duties required for the role

Person specification

  • Experience in carrying out and managing health and safety checks
  • Experience in carrying out office administration duties
  • Reliable and responsible with a commitment to maintaining a safe working environment.
  • Flexible and adaptable to the needs of multiple sites.
  • Ability to travel regularly between Redhill and Guildford
  • Strong organisational and time management skills with the ability to multitask.
  • Attention to detail to ensure compliance with safety regulations and record-keeping.
  • Excellent problem-solving skills and ability to take initiative.
  • Strong communication skills to liaise effectively with internal staff, landlords, and contractors.
  • Strong literacy skills
  • Ability to work independently and proactively manage responsibilities.
  • Competency with Microsoft Office and basic administrative systems.
  • Knowledge of risk assessments, COSHH regulations, and health & safety legislation would be preferred
